Hoomies Privacy Notice

We at HOOMIES COMPANY AB, corp.reg.no 000000-0000 (“we” / “Hoomies”) offer social living solutions aimed at creating a hassle-free and pleasant community experience (the “Community”). Below you will find information on how we collect and use your personal data in connection with marketing, offering and providing the Community and related services, such as digital solutions, cloud services and related networks (“Services”).

The Services are owned and provided by us. We are therefore responsible for the processing of your personal data as data controller under the General Data Protection Regulation 2016/679 (“GDPR”).

How Hoomies processes your personal data depends on whether you apply for membership (“Applicants”), are a registered member or resident (“Members”), represent a business partner or supplier (“Partners”), or use our website and digital services. Sections 7–11 apply to all categories.

Questions concerning personal data may be sent to hello@hoomiesliving.se or by post to HOOMIES COMPANY AB, Per Ekströms väg 3, Bromma, Stockholm.

1. From which sources do we collect information?

Most information we process is received directly from you, for example when you apply for a studio, contact us, sign an agreement or use the Services. You may choose not to provide certain information, but this can prevent us from completing an application or providing the Services.

We may also collect personal data from public registers and trusted third parties, for example to verify contact information, references or creditworthiness where appropriate and lawful. If you use our website, we may collect technical information about your device and browsing activity through cookies and similar technologies when you have consented to this.

2. Applicants

2.1 Personal data we may process

This may include name, date of birth, nationality, contact details, address, requested studio and dates, education, occupation, references, application answers, relevant certificates, public profile information and information used for lawful identity, leasing-history or financial checks.

If you voluntarily provide sensitive personal data, we process it only where necessary and supported by valid consent or another legal ground. Unnecessary sensitive information may be deleted.

2.2 Why we process applicant data

We process data to administer applications, communicate with you, assess whether we can offer the requested accommodation, carry out the selection process and prepare a membership or accommodation agreement. Processing is based on steps prior to entering a contract, legitimate interests, legal obligations and, where relevant, consent.

3. Registered users

We process basic and contact information to create and administer accounts and provide access to connected Services. This is necessary to perform our contract with you. Contact information may also be used for relevant service information and marketing based on legitimate interests or consent, subject to your right to opt out.

4. Members and residents

4.1 Personal data we may process

In addition to applicant information, we may process agreement and resident details, key-holder information, emergency contact details, maintenance requests, incident reports, identity documents, nationality and visa status, financial and payment information, rent or fees due, account identifiers, profile information, amenity reservations, building usage information, delivery preferences and survey responses.

4.2 Why we process member data

We use this information to register and administer your account, provide accommodation and community Services, manage access and keys, communicate with suppliers and contractors, arrange maintenance, invoice you, handle support and safety matters, fulfil legal obligations and improve the Services. Where food or activities are involved, we may process dietary or allergy information with your consent.

5. Partners and suppliers

For representatives of partners and suppliers, we may process name, business contact information, employer, job title, authority to represent the organisation and, for sole traders, identification or registration details. We use this information to negotiate, enter into and administer agreements, communicate, invoice and meet legal obligations.

6. Website and digital-service users

We may process statistical information about how visitors interact with our digital services and technical information about devices, browsers and website use. Optional statistics and marketing technologies are used only after consent. Necessary technical data may be processed for security, troubleshooting and reliable delivery based on our legitimate interests.

If analytics or advertising services are connected, consent can be changed at any time through “Cookie settings” in the website footer.

7. Additional purposes and legal grounds

We may retain and process information where necessary to establish, exercise or defend legal claims, comply with audits and regulations, protect legitimate business interests, administer events you attend, or manage a merger, financing, acquisition or sale of business assets. Information may also be used for another clearly described purpose when you have given valid consent.

8. How do we share personal data?

Access is limited to employees and consultants who need the information to perform their work and who are subject to confidentiality. We may share information with trusted service providers that support applications, property management, payments, communication, IT, cloud services, maintenance and daily operations. They may only process information according to our instructions and applicable law.

We may also disclose information where required to authorities, law-enforcement bodies, insurers, professional advisers or other parties involved in a legal or corporate process. We do not sell personal data.

9. International transfers

We primarily process personal data within the EU/EEA. If a supplier processes information outside the EU/EEA, we apply safeguards required by the GDPR, such as an adequacy decision or the European Commission’s standard contractual clauses, together with appropriate security measures.

10. How long do we keep personal data?

We retain personal data only for as long as needed for the purpose for which it was collected and to satisfy legal requirements. Applicant information may normally be kept during the application process and for up to 12 months to contact you about relevant availability, or longer where needed to establish or defend legal claims.

Member and account information is generally kept while you use the Services and for a reasonable period afterwards. Accounting, contractual and legal records may be retained for the periods required by law. Information processed only on consent is deleted or anonymised when consent is withdrawn, unless another legal ground requires continued storage.

11. Your rights

Depending on the circumstances, you have the right to request access to your personal data, correct inaccurate information, request deletion, restrict processing, object to processing based on legitimate interests, receive certain data in a portable format and withdraw consent. You always have the right to object to direct marketing.

To exercise your rights, contact hello@hoomiesliving.se. We may need to verify your identity before completing a request.

You may lodge a complaint with the supervisory authority where you live or work. In Sweden this is Integritetsskyddsmyndigheten (IMY), available at imy.se.

12. Changes to this notice

This notice may be updated to reflect changes in our Community, Services or processing. Significant changes will be communicated when required. We recommend reviewing this page periodically.
